1. Nature and Scope of Services
TrichoCentre provides non-medical trichology services focused on hair and scalp care from a cosmetic, educational, and advisory perspective.
Services may include:
• Hair and scalp consultations
• Visual scalp assessment and magnification techniques
• Cosmetic care guidance
• Lifestyle and hair-care education
• Non-prescriptive product recommendations
We do not:
• Diagnose medical conditions
• Prescribe, supply, or administer medication
• Perform invasive procedures
• Provide medical treatment or healthcare services
Our services do not replace care from a GP, dermatologist, or other regulated healthcare professional.
Where signs or symptoms appear outside the scope of non-medical trichology, we may recommend that you seek advice from an appropriate healthcare professional.
2. Client Consultation, Informed Consent, Care Options & Examination Acknowledgements
Prior to receiving any services, clients are required to complete and sign TrichoCentre’s Client Consultation, Informed Consent & Care Options Acknowledgement, and, where applicable, a Hair & Scalp Examination consent form.
Where additional cosmetic care options are discussed or selected, clients may also be required to review and sign care option-specific consent and aftercare forms relevant to the services being considered or provided.
These documents explain what the consultation, examination, or care option involves, confirm the non-medical nature of services, and outline any relevant aftercare, limitations, or considerations.
Together, these acknowledgements form an integral part of these Terms & Conditions and confirm that the client understands and accepts that:
• All services provided by TrichoCentre are non-medical, cosmetic, and educational in nature
• TrichoCentre does not diagnose medical conditions, provide medical advice, or prescribe, supply, or recommend prescription-only medicines
• Any information, observations, or guidance provided do not replace medical advice, diagnosis, or treatment
• Where appropriate, clients may be advised to seek assessment or guidance from a qualified medical professional, such as a GP or dermatologist
They also confirm that:
• Any hair or scalp care options discussed are non-medical and entirely voluntary
• Care options are based on cosmetic suitability and professional judgement, not medical diagnosis
• Clients are under no obligation to proceed with or purchase any recommended care option
• Individual responses to cosmetic hair and scalp care vary and no outcomes or results are guaranteed
By proceeding with services, clients confirm that they have read, understood, and agreed to the above acknowledgements, in addition to these Terms & Conditions.
3. Repeat Clients – Ongoing Acknowledgement
Clients who have previously completed and signed TrichoCentre’s consultation, examination, and any applicable care option consent forms are not required to re-sign these documents at every visit, provided that:
• There has been no material change to the nature or scope of services provided
• The client’s health status, scalp condition, or relevant personal information has not materially changed
• The care option being provided is the same as previously consented to
• No significant period of time has elapsed since the previous appointment
TrichoCentre reserves the right to request completion of a new consultation, examination consent, or care option-specific consent at any time where this is considered appropriate or necessary.
By continuing to book and attend appointments, repeat clients confirm that their previously provided information and consents remain accurate and applicable, unless they advise otherwise.
4. Non-Medical Disclaimer
You acknowledge that TrichoCentre operates as a non-medical trichology practice.
All information, assessments, and recommendations are provided for educational and cosmetic purposes only and must not be interpreted as medical advice or diagnosis.
If you have, or suspect you may have, a medical condition, infection, or disease, you must seek advice from a registered medical practitioner.
5. Communications and Appointments
Email and voicemail contact is provided for administrative purposes only. Please note that not all TrichoCentre inboxes or telephone lines are monitored on a continuous or regular basis, and enquiries received via these channels may not be seen or responded to. Due to automated spam and security filtering, messages may occasionally fail to be delivered or may be automatically deleted, and receipt of correspondence cannot be guaranteed. For the quickest response, clients should refer to their booking confirmation, as telephone lines are not continuously monitored.
TrichoCentre is unable to provide advice, recommendations, or guidance by email or voicemail, including in relation to hair, scalp, or product use. Enquiries requiring consideration must be addressed through a booked consultation, which ensures appropriate time, context, and professional attention within a scheduled appointment.
Product availability, suitability, and professional guidance may change over time in line with regulatory requirements and professional standards, and any information previously discussed may no longer be current. TrichoCentre is a non-medical trichology practice, and services are educational and cosmetic in nature only; we do not provide medical diagnosis, prescribing, or medical treatment. Where appropriate, clients may be advised to seek guidance from a qualified medical professional.
6. Client Eligibility
Services are available to adults aged 18 years and over only.
By booking an appointment, you confirm that you are legally capable of entering into this agreement.
Children and minors are not permitted to attend appointments, and we are unable to supervise them. This activity is not covered by our insurance.
7. Health Information & Client Disclosure
Clients agree to provide accurate, complete, and up-to-date information relevant to hair and scalp concerns, including where applicable:
• Allergies or sensitivities
• Existing scalp or skin conditions
• Pregnancy or breastfeeding
• Relevant medical history or recent procedures
• Medications that may affect hair or scalp health
Failure to disclose relevant information may limit the suitability of advice provided. TrichoCentre accepts no liability where outcomes are affected by incomplete or inaccurate disclosure.
8. Pre-Consultation Information Form
Clients may be asked to complete a Pre-Consultation Information Form prior to an appointment.
This form is used for information-gathering purposes only and helps TrichoCentre prepare for the consultation and ensure that the discussion is focused and appropriate to the client’s concerns.
Completion of the form does not constitute a medical assessment, diagnosis, or treatment, and the information provided must not be interpreted as medical advice.
Clients are responsible for ensuring that the information provided is accurate and complete to the best of their knowledge. Failure to provide relevant or accurate information may limit the suitability or scope of guidance offered during the consultation.
For in-person consultations, clients may be asked to bring a completed copy of the form to their appointment. For remote consultations, the form must be completed in advance as instructed at the time of booking.
Information provided within the Pre-Consultation Information Form is handled in accordance with UK GDPR and the Data Protection Act 2018.
9. Remote Consultations
Remote consultations may be offered where appropriate.
You acknowledge that remote consultations are limited by the absence of physical examination and may require follow-up, referral, or an in-person appointment.
By choosing a remote consultation, you accept the inherent limitations of this format.
10. Complimentary Call Back
Complimentary call backs are offered as a brief, introductory service only and are not consultations.
Call backs are limited to a maximum duration of 10 minutes and are intended solely to provide general, non-medical information about TrichoCentre’s services and consultation options.
No assessment, examination, personalised guidance, care options, or recommendations will be provided during a complimentary call back. Information shared during the call must not be relied upon as professional advice.
Call backs may be made from a withheld or unknown telephone number. By booking a complimentary call back, you acknowledge and accept this.
Complimentary call backs do not replace an in-person or remote hair and scalp consultation. Where appropriate, a formal consultation may be recommended.
TrichoCentre reserves the right to end a call early if the scope exceeds that of a complimentary call back.
11. Results Disclaimer
Responses to cosmetic hair and scalp care vary between individuals and depend on multiple factors including genetics, lifestyle, overall health, and consistency of care.
No guarantees are made regarding cosmetic outcomes, appearance, hair density, or improvement.
12. Patch Testing & Sensitivities
Where appropriate, patch testing may be recommended.
Clients who decline recommended patch testing do so at their own discretion.
TrichoCentre is not responsible for reactions arising from undisclosed sensitivities or refusal of recommended precautions.
13. Products
Any products sold or recommended are intended for external cosmetic use only.
Clients are responsible for following manufacturer instructions and suitability guidance.
TrichoCentre is not liable for reactions arising from misuse or application contrary to instructions.
14. Appointments, Changes & Cancellations
• Appointments are subject to availability
• Cancellations or rescheduling must be made within the notice period stated at booking
• Late cancellations or non-attendance may result in a fee or loss of deposit
• Late arrival may result in a shortened appointment without fee adjustment
No formal written care plan is provided following appointments. Clients are responsible for noting and following recommendations discussed.
15. Fees, Payments & Third-Party Cover
• Fees are communicated clearly at the time of booking
• Payment may be required in advance or on the day of the appointment
• Consultation fees are non-refundable once the service has been provided, subject to statutory rights
Where services are paid for by a third party or private insurer, you remain responsible for any charges not covered.
16. Office Guidelines
To maintain a safe and professional environment:
• Please attend appointments alone
• Guests must wait outside or in their vehicle
• No refreshments are provided
• Toilet facilities are unavailable
• CCTV operates on the premises for safety and security purposes
• Due to a door step, the premises do not have wheelchair-accessible seating

17. Hygiene, Safety & Suitability
We maintain high standards of hygiene and safety.
Clients must comply with reasonable instructions during appointments.
We reserve the right to decline or discontinue services where conditions are considered unsuitable or unsafe.
18. Right to Refuse Service
We reserve the right to refuse or discontinue services where:
• Relevant information is withheld or inaccurate
• A service is deemed unsuitable or outside scope
• Behaviour is inappropriate, abusive, or disruptive
19. Limitation of Liability
Nothing in these Terms excludes or limits liability for:
• Death or personal injury caused by negligence
• Fraud or fraudulent misrepresentation
• Any liability which cannot be excluded under UK law
Subject to the above, TrichoCentre is not liable for dissatisfaction with cosmetic outcomes, reactions linked to undisclosed sensitivities, or indirect or consequential loss.
20. Consumer Rights
These Terms are subject to the Consumer Rights Act 2015.
Nothing in these Terms affects your statutory consumer rights.
21. Privacy & Data Protection
Personal data and images are processed in accordance with UK GDPR and the Data Protection Act 2018.

22. Intellectual Property
All consultation materials, written content, imagery, and educational resources remain the intellectual property of Santo Sebastian and its division, TrichoCentre, and may not be reproduced without written consent.
23. Communications
Please retain booking confirmations and messages for reference.
For the fastest response, follow the contact options provided in your booking confirmation. Telephone services are not continuously monitored.
24. Changes to Terms
We may update these Terms & Conditions from time to time.

25. Governing Law
These Terms & Conditions are governed by the laws of England and Wales.

By booking, scheduling, or attending an appointment (including via online booking platforms), you confirm that:
• You are aged 18 years or over
